Week 14 |
 |
- Order tour posters, mailers, tickets and flyers from the publishing company.
- Contact your local Christian radio station and see if they would like to partner with you, and become a co-sponsor of the event.
- Acquire mailing labels for a regional church mailing.
- Contact all local youth ministries and youth pastors to make sure they place your concert on their calendar of events.
- Set up ticket sales outlets at local bookstores and churches.

Week 13 |

- Mail out your mailing to all the churches in your area.

Week 12 |
 |
- Distribute a flyer advertising your concert to all major church youth groups in your area.
- Provide flyers to interested churches for insertion into their church bulletins.
- Distribute flyers to your ticket outlets.
- Display posters in a very visible, High-Traffic location. (Not in the back corner!)
- If you are using a publicist, then provide them with all information that is needed.

Week 11 |

- Distribute tickets to your ticket outlets. (Obtain a signature from management)
- Check to see that:
A. - They have enough flyers
B. - The poster for the event is in a prominent place
C. - Make sure all employees are familiar with event

Week 8 |
 |
- Start running spots/underwriting announcements for the upcoming event, 20 per week is recommended.
- See if the radio station is interested in having ticket give-a-way, CD's, cassettes, "Prize Packages", etc. 20 pairs of tickets is the suggested amount.
- Have 3 - 6 spots running per day
- Request a spot log from the radio station so you can see the exact time your spot is actually running on air.

Week 6 |

- Follow up with local radio station and see if they received promotional give-a-ways (only if the promotional material was ordered)
- Schedule a radio interview with the artist.

Week 4 |
 |
- Start running the second "flight" of spots/underwriting.
- Send out second mailing list to "concert goers" and/or churches in your area.
- Place posters in prominent locations throughout your community.
- Check to see posters are still up in your bookstores and churches.

Week 3 |
 |
- Arrange for a volunteer to call all major local youth groups to remind them about the concert. This is an important reminder call that should not be overlooked!!
- Book hotel rooms.

Week of Concert |
 |
- Pick up money and/or tickets from the outlets.
- Make sure hotels are reserved and pre-paid in the artist name.
- Obtain a hotel confirmation number.

Day of Concert |
 |
- Brief Ushers.
- Meet with road manager and go over details.
- Make sure tables are set up and you have the proper amount.
- Make sure all meals are ready for the artist.
- Have a prayer time with the artist and crew.
- Pass out mailing list cards to everyone who attends.
- Make sure you have enough load-out help.

After The Concert |

- Send Thank you cards to all volunteers.
- Pay all your bills.
